Creating a Budget for Microsoft Syntex & SharePoint Premium

Microsoft Syntex (now renamed and part of SharePoint Premium) is a powerful tool that can help you automate your content-based processes. It uses advanced machine learning, content artificial intelligence (AI), and intelligent document processing to automatically find, organize, and classify your organization's content. Syntex has several features that make it a valuable tool for businesses of all sizes. However, every organization will need to create a budget for Microsoft Syntex usage due to the pay-as-you-go licensing.

Note: Microsoft has created a new platform called SharePoint Premium. Microsoft Syntex is now part of SharePoint Premium and Syntex is no longer a product name. However, the rest of this article and video is accurate and still applies. Microsoft loves to rename things don't they 🙂

Why You Need a Budget for Microsoft Syntex & SharePoint Premium

Microsoft Syntex can extract key information from your documents and use it to create metadata that can be used to search and filter your content. Syntex can also be used to automate workflows, such as document approval processes, by using AI to identify the appropriate people to review and approve documents.

However, to get the most out of Syntex, you need to be aware of its pay-as-you-go licensing model and how to control the costs associated with it. This means that you can use Syntex without any commitment or upfront costs. Any user in your organization can use Syntex services and only pay if and when services are used. Setting a limit, or budget, for your Syntex usage will give you the confidence to use the service within your organization. Watch my video below to see how to create a budget!

Creating a Budget for Azure Resource Groups

Pay-as-you-go requires a Microsoft Azure subscription. When you use Syntex, you are charged based on the number of documents processed and the amount of time that the service is used. The cost of using Syntex can vary depending on several factors, such as the size of your organization, the number of documents you process, and the complexity of your process workflows.

Azure resource groups are used to organize and manage your Azure resources. A resource group is a container that holds related resources for an Azure solution, including Syntex. You can use resource groups to manage access control, monitor your resources, and manage costs. When you use Syntex, you can create a resource group to manage the resources that are used by the service. In fact, my recommendation is to create a resource group that will only be used for Syntex. This can help you to manage costs by setting a budget for the resource group.

By setting a budget on your Azure resource group, you can ensure that you are not surprised by unexpected costs when using Syntex. You can also use Azure Cost Management and Billing to monitor your usage and take action if the cost exceeds your budget. This can help you to control the costs of using Syntex while still enjoying the benefits of the service.
