More changes come to Microsoft Lists, SharePoint, Microsoft Teams, and OneDrive functionality in Microsoft 365. These updates include new features and revisions of features since being announced previously. Keep up with change in Microsoft 365 by reading more below! Changes to Microsoft Lists (Updated) Introducing Microsoft Lists home (MC218031) Microsoft is clarifying two points around the new Microsoft Lists. First, the rollout will take longer than most rollouts we have seen lately in Microsoft 365. It has already started rolling out to targeted release tenants, but it won't be completely rolled out to all tenants until mid-October 2020. Secondly, Microsoft wants you to know there is no way for you to turn off Microsoft Lists for your tenant. However, you will be able to disallow users from creating personal lists. This will be done via PowerShell and the feature will be rolled out sometime in September 2020. SharePoint (Updated) New Feature: Schedule pages and news posts in SharePoint (MC212265) As I reported previously, Microsoft pulled the feature allowing the scheduling of pages and news posts due to an issue. However, the issue has now been fixed and the rollout started back this month. Your tenant probably already has the feature, but it is turned off on sites by default. What to learn how to enable this feature and allow your users to start scheduling posts? Check out my short video explaining how: New Feature: Cumulative analytics for SharePoint hubs (MC216129) Announced in June, cumulative analytics will give hub owners the ability to see analytics on activity within all sites in the hub. Microsoft has delayed the rollout of the new features, originally slated to be implemented in July. The target was end of August, so it may already be in your tenant. New Feature: SharePoint Auto Digest Email (MC215356) Microsoft wants your users to stay informed by making sure they see published content. “SharePoint Auto-News Digest sends automated email to users in your company about the latest News posts that they have not yet read that are relevant to them.” Content that a user doesn't have access to will NOT be sent and the emails are sent weekly. Microsoft will allow users to unsubscribe from these emails. There will also be way for admins, via PowerShell, to turn the feature off altogether. The feature has been delayed until early September and Microsoft has promised that the admin controls will be available before rollout. Move files and easily keep sharing (MC220127) Coming in September, when moving files between SharePoint and OneDrive, users will be able to keep the sharing settings on files. “Move and keep sharing is a new feature that allows your end users to easily re-share a file with all the direct collaborators (e.g., the users who had previously received a share for that file) should it be moved.” This is a great new feature that allows document continuity when moving. This will work for files moved from one SharePoint site to another, from SharePoint to a OneDrive site, and from OneDrive to a SharePoint site. The rollout starts in August and is expected to be completed by the end of September. Microsoft Teams New file sharing experience in Teams (MC218732) This update is all about unifying the file sharing experience across Microsoft Teams, SharePoint, Office, and OneDrive. It is a boost in user productivity that they will have the same user interface for sharing across all the sites/apps. However, Microsoft has delayed this rollout to reduce the amount of change happening. The new timeline is for rollout to begin late August and be completed in late September 2020. Microsoft Teams new calling and meeting experience (MC212453) The rollout of the new calling and meeting experience has completed for users to opt-in, however there are delays in the schedule for enabling by default. The new schedule has the features being enabled by default in late August. Users will be able to opt-out of the features until sometime in September, when Microsoft will disable the opt-out feature. Exchange M365 Records Management: Proof of disposal for records (MC219922) This is the previously announced feature that allows you see the content that is automatically disposed or via a review. You can view the items in the ‘Disposition’ section of the Records Management solution within the Microsoft 365 Compliance Center. The rollout for SharePoint and OneDrive has completed, but Microsoft has paused the rollout for Exchange. This will leave a gap in the overall process of proving disposal across Microsoft 365. There is no timeline for when the rollout for Exchange will happen. OneDrive Retiring the Discover view from OneDrive web (MC219746) Microsoft is removing the ‘Discover' view from OneDrive. This change has already started rollout and will be completed by the end of September. If you have trained your users to use this functionality, you need to let them know that Microsoft now suggests using search for this functionality – although I don't agree that search will fill this same need. Also be aware that Microsoft will also be removing the Shared libraries section as well. As announced in July via MC219085, the libraries will not be shown in the view, but users will have to clicked on a new “Shared Library” node. Office Outlook for Windows introduces cloud settings (MC214927) Announced in June, this feature will allow you to save your settings in the Outlook desktop application to the cloud, so that it syncs across your devices. The rollout has been delayed due to issues identified during the early rollout stages to early rings. The expected rollout is now scheduled for the production Monthly Channel in late September. ———————- Remember to subscribe FOR FREE to the 365 Message Center Show to know what is coming in your tenant!

More changes come to Microsoft Teams, OneDrive, Dynamics 365, and eDiscovery functionality in Microsoft 365. These updates have been revised since being announced previously. Keep up with change in Microsoft 365 by reading more below! Changes to Microsoft Teams The Planner app in Teams will be renamed with an updated experience powered by Planner and To Do (MC211421) Microsoft is working to consolidate the tasks experience in Microsoft 365. Microsoft Teams is getting the revamp treatment, but in phases. A summary is below, but you can read more details in the Tech Community post here: Announcing Tasks in Microsoft Teams public rollout Right now, in the Teams desktop (and web) app, tasks are called Planner. In the mobile app, they are called Tasks. Then during the new rollout, the name Planner will be replaced with Tasks by Planner and To Do. This rename should be completed by September. Then later this year, the name will be again renamed to simply Tasks. If you are confused, then maybe my diagram below will help. General Availability (GA) should be complete in September. Also of note, this does not apply to government (GCC) or high security clouds. Teams Desktop: Language-Aware Spellchecking (MC217362) Originally announced in June, language-aware spellchecking is coming to Microsoft Teams. However, due to the pace of change in Microsoft 365, the feature is being delayed. Instead of being completed in July, this rollout will start in August and finish in September. This feature will not be rolled out to government clouds (GCC, GCC-H, DoD) yet. New feature: Suggested replies in Teams mobile (MC215163) Another feature being delayed because of the pace of change, suggested replies in Microsoft Teams mobile will start soon. Instead of starting in July, it will be released starting in August and completing in September. New feature: AutoClaim Policy for products containing Microsoft Teams (MC212697) This feature allows for users who try to use Microsoft Teams to get an automatic assignment of a license. Announced in May, it was to already be rolled out to standard tenants by now. However, Microsoft has learned some lessons on the process and paused delivering the functionality. This feature will start to be available in August and completed in September. OneDrive Manage OneDrive storage limits for users in the Microsoft 365 admin center (MC218968) As I wrote about earlier this year in my post How to Increase Your OneDrive Storage Limit, you can control OneDrive storage for your whole Microsoft 365 tenant. In that post, I have video demonstration how you can increase a user's storage quota using PowerShell. But soon, you will be able to utilize the Microsoft 365 Admin Center to make those changes. To make the change, you can open the user details pane and select the OneDrive tab. Then you can select Manage default storage to change the allotment. This feature should now be in all tenants worldwide. Changes to Shared Libraries navigation on the OneDrive Website (MC219085) Microsoft is making a change to how users see shared libraries in the OneDrive site. This feature is fairly new as it is in OneDrive. Shared libraries is a one-stop location for SharePoint libraries to which you have access. Currently, the view looks like the image below. However, Microsoft will be adding a Shared Library node in the menu where you see My files, Recent, etc. The libraries will not show some of your top libraries in the left-hand navigation (outlined in red above) anymore. The Message Center post noted that this should be rolled out to Targeted tenants by the end of July, but my tenant does not have this change implemented as of August 1st. Dynamics 365 New Service Plan for Forms Pro User Subscription License (USL) (MC219078) As discussed on the 365 Message Center Show episode Microsoft Teams Call Merge – #155, Microsoft Forms Pro is being renamed to Dynamics 365 Customer Voice. I won't address the odd naming choice here, but I will address the odd naming of the service plan required to implement Power Automate with the new D365 Customer Voice. To create flows in Power Automate that work with D365 Customer Voice, you will need to use the new Flow for Dynamics 365 Customer Voice service plan. It seems odd to me that they are using the name Flow in the plan, when the service is called Power Automate. I do know that the individual workflows in Power Automate are called flows, but it seems that this is an improper user of the name Flow. This is of course just my opinion. Maybe Power Automate for Dynamics 365 Customer Voice was just too long. That could also be said about “Dynamics 365 Customer Voice” vs. “Forms Pro”, but I digress. Microsoft 365 Microsoft 365 Records Management – Updated behavior for records (MC218924) Changes are coming for how Microsoft Exchange, SharePoint, and OneDrive in Microsoft 365 handle records. If you use record labels to declare an item as a record, behavior in the three services will be different. In Exchange, users will no longer be able to soft-delete an email, nor will they be able to edit the subject, body of the email, or remove attachments. In SharePoint, when a record is copied, the new item will not have the retention label applied. For OneDrive, similarly to SharePoint, when an item is copied, the new item will not have the retention label applied. Users will also no longer be able to soft-delete an item. These changes will start to go into effect in mid-August, and is targeted to be finished for all tenants in early September. Advanced eDiscovery limit improvements (MC219354) Announced on July 27th and available to all Advanced eDiscovery customers by the end of July, Microsoft is increasing limits in the service. The maximum number of documents that can be added to a case is increasing from 1 million to 3 million. Also increasing is the total file size per load set – increasing from 100 GB to 300 GB. This does include loading non-Microsoft 365 data into the review set. ———————- Remember to subscribe FOR FREE to the 365 Message Center Show to know what is coming in your tenant!
